How AideAI collects, uses, stores, and protects information across our website and Mac application.

This Privacy Policy explains how Aide AI, Inc. (“AideAI,” “we,” “us,” or “our”) collects, uses, shares, and protects information when you visit aideai.app, use our Mac application, subscribe to paid features, or contact us.

AideAI is designed to help you understand your work, classes, meetings, and daily context. Some features can process sensitive workspace context such as screen content, audio, transcripts, notes, calendar events, reminders, files, or app activity. We describe those uses below so you can make informed choices.

Information We Collect

We collect information you provide directly, information generated while using the Service, and limited technical information needed to run and improve the Service.

  • Account and contact information, such as your email address when you sign in, subscribe, request support, or contact us.
  • Device and registration information, including an app-generated device identifier, subscription status, app version, operating system, language, and diagnostic metadata.
  • Content you choose to process with AideAI, such as messages, prompts, files, screenshots, screen text, audio recordings, transcripts, summaries, notes, and generated outputs.
  • Optional integration data, such as Apple Calendar, Reminders, Mail, browser context, or other sources you enable in the app.
  • Payment and subscription information, such as purchase receipts, subscription plan, renewal status, and limited billing metadata from Apple, Stripe, or other payment processors. We do not store full payment card numbers.
  • Website and analytics information, such as pages viewed, referring pages, device/browser type, approximate location from IP address, and events that help us understand product usage and reliability.

Screen, Audio, and Local Context

AideAI may request macOS permissions such as Screen Recording, Microphone, Accessibility, Calendar, Reminders, or other system permissions depending on the features you enable.

Where possible, context is stored locally on your device. Some features require sending selected content to our servers or third-party AI providers to generate answers, transcriptions, summaries, search results, or other outputs. You control whether to grant or revoke macOS permissions in System Settings.

How We Use Information

  • To provide, operate, personalize, and improve AideAI.
  • To process prompts, audio, files, screenshots, transcripts, and other context you ask AideAI to use.
  • To authenticate users, manage subscriptions, process payments, prevent fraud, and provide support.
  • To monitor reliability, debug crashes, analyze product performance, and protect the Service.
  • To send service messages, product updates, and marketing communications where permitted by law. You can opt out of marketing messages.
  • To comply with legal obligations, enforce our Terms of Service, and protect rights, safety, and security.

AI Providers and Service Providers

We use service providers to host infrastructure, process payments, deliver authentication, provide analytics and crash reporting, operate AI and transcription features, store data, and support the Service. These providers may process information only as needed to provide services to us and are not authorized to use it for their own independent purposes.

Depending on the feature, content may be processed by AI model providers, cloud infrastructure providers, analytics providers such as PostHog, crash and performance tools such as Sentry, payment processors such as Apple or Stripe, and other vendors that support the Service.

When We Share Information

  • With service providers that help us operate the Service.
  • With payment processors to process subscriptions and renewals.
  • With AI and transcription providers when you use features that require model processing.
  • With authorities, courts, or other parties when required by law or necessary to protect rights, safety, or security.
  • In connection with a merger, acquisition, financing, reorganization, or sale of assets, subject to appropriate protections.

Cookies and Similar Technologies

Our website may use cookies, local storage, pixels, and similar technologies for essential functionality, analytics, security, and performance. You can control cookies through your browser settings, but disabling them may affect some website features.

Data Retention and Deletion

We retain information for as long as needed to provide the Service, comply with legal obligations, resolve disputes, enforce agreements, protect security, and maintain business records.

You may request deletion of personal information by contacting privacy@aideai.app. We aim to respond within 30 days unless a different period is required by law. Some information may remain in backups or records where legally required or technically necessary for a limited period.

Security

We use technical, organizational, and administrative safeguards designed to protect information, including encrypted transport, access controls, and operational monitoring. No system is perfectly secure, and we cannot guarantee absolute security.

International Transfers

We and our service providers may process information in the United States and other countries. Where required, we use appropriate safeguards for international transfers of personal information.

Your Rights

Depending on where you live, you may have rights to access, correct, delete, export, restrict, or object to the processing of your personal information. You may also have the right to withdraw consent where processing is based on consent and to lodge a complaint with a data protection authority.

Children

The Service is not intended for children under 13, and we do not knowingly collect personal information from children under 13. If you believe a child has provided personal information, contact us so we can take appropriate action.

Changes to This Policy

We may update this Privacy Policy from time to time. The updated version will be posted on this page with a new “Last updated” date. If changes are material, we will provide additional notice where required.
